Company Setup
The Company Setup dialog can be selected from the Setup menu. It contains the Company Name and settings that affect the way AV Clock
and AV Tools work. The settings are recorded in the current database file.
All instances of AV Clock or AV Tools which are configured to use the same
database file will reflect changes made here. Below is a screen shot of the Company
Setup dialog followed by a description of each of the settings.
Company Name
The company name goes here as it should appear in the reports and on the title
bar of AV Clock.
Week Starting Day
The day of the week on which pay periods start is selected here.
Round Hours before calculating hours worked
The purpose of this field is to select how to round clock in and clock out
times when calculating hours worked. The exact clock in and out times are
recorded no matter which rounding value is selected. The rounding is only applied
when calculating hours worked. For example, if rounding to 0.25 hours is selected
and an employee clocks in at 8:55 AM and out at 3:06 PM, the hours worked will
be six. The hours worked would also be six if the employee clocked in at 9:06
and clocked out at 2:55. The reason for using rounding is to have the total
hours come out in even increments. For example, if rounding to 0.01 is selected
and the employee is trying to keep to an 8 hour schedule, the total hours
might come out to numbers like 8.02 or 7.59. This is because the employee clocked
in and out slightly early or late. If rounding to 0.1 hours, the totals would
more likely come out to 8.0.
Excessive Hours for one day
The number of hours entered here is the number of hours considered excessive
when worked in one day. This provides a way of letting an employee or
supervisor know that an employee may have missed clocking out. When an employee has
worked this many hours, the AV Clock will show the employee as having worked
excessive hours by changing the color (the default is red) of the name. Also when
an employee clocks out and has excessive hours, a message will be displayed “Excessive hours recorded, please advise supervisor”. An Excessive Hour report may be generated which reports just employees and
days where excessive hours have been worked.
Paid break if less than
If a break is taken by an employee which is equal to or less than the time
specified here, it will be considered a paid break and not subtracted from the
total hours for the day. A break longer than the time specified will be
considered an unpaid break and will not be included in the total hours worked for the
day.
Clock in by employee number
If this checkbox is checked, the employee may clock in using an employee
number.
Clock in by employee clock in/out code
If this checkbox is checked, the employee may clock in using a clock in/out
code. The clock/in out codes are entered per employee on the employee setup
dialog.
